Processing Email Efficiently - Part 1

Published: Oct 6, 2004

Application

Do you waste a lot of time processing your email? Here are some tips to improve the efficiency of your email processing.

Use filters and other input controls - Study all the functions of your email client (programs such as Outlook, Eudora) to automate the sorting and elimination of specific items and unwanted spam.

Sort to reading priorities - Use input sorting to direct messages to custom mailboxes such as: "Immediate", "Weekend", "DAT" (Day After Tomorrow), specific sources, topics and, of course, "InSpam".

Save excerpts only - Instead of saving an entire message, select only what you need. Copy / Paste to a text file.

Create collector files - Folders and files can be dedicated by subject and by time period for the above excerpts. Use text files for easy conversion to other word processors.

Organize with sub-folders - Rather than collecting emails/files in a few main folders or mailboxes, take advantage of sub-folders and sub-mailboxes.

Example:

Use the long file name allowance - People who were raised on the old eight-character constraints need to adjust to the modern era of longer file names. Example: "descriptive filename.txt"

Please note this is optimistically titled, "Part 1"
